Departments & people

Build the org chart, invite people into the business, change roles, suspend and remove.

Departments decide who can read which skills. People decide who can do what. These two pages are the ground everything else stands on, so build them before you create any server.

The org chart

Open Departments in the sidebar. The tree comes up expanded, and every row tells you the head of department, how many people are in it and how many servers it holds.

Inheritance, the one rule that matters on this page

A server scoped to a department is visible to every sub-department too. Scope it to Marketing and Marketing › Content can read it. It never works the other way: scope it to Content and Marketing sees nothing.

  1. Hit New department, type a Department name, pick a Parent department and hit Create.

    Owners and Admins can pick Top level (no parent). A Manager has to pick a department inside their own branch.

  2. To add a child, hit Add sub-department on the parent's own row.

    The parent is locked in at that point, so all you do is name the new one.

  3. Hit Manage on a department to rename it, move it, set a head or delete it.

The Manage panel holds four sections, each with its own Save button:

Rename
Up to 80 characters.
Move
Pick a new parent. A department can't be moved below one of its own children, and the system will say A department can't be moved under one of its own sub-departments.
Set head
Display only. Someone's permissions come from their role, not from this field. If you want a person to really run a department, set their role to Manager on the Members page.
Delete department
Only empty departments can go. While it still holds people, servers or sub-departments the button stays disabled, so move them out first.

Limits: the tree goes 6 levels deep, and each business holds 200 departments.

Inviting people in

Go to Members → hit Invite member. The person gets an email with a one-time link, good for 7 days.

Work email
Required. They have to sign in with exactly this address to accept, so a leaked link is useless to anyone else.
Role
Member by default. Owners and Admins can go as high as Admin; a Manager can only go as high as Manager.
Job title
Optional, up to 80 characters. For example Content lead, Sales rep.
Department
Owners and Admins get one extra option, No department. A Manager has to pick one, and can only invite into their own branch.

The invitation link shows once

After you invite someone, a yellow Invitation link card appears with a copy button. Leave the page and you can't read it again. If the email never lands, copy the link right then and send it by hand, or go to the Invitations tab and hit Resend for a fresh link (which kills the old one immediately).

The Invitations tab lists every pending invitation with a Resend and a Revoke button. One email address has exactly one live invitation at a time, so inviting again revokes the old one automatically.

Managing one person

Hit Manage at the end of a row to open the side panel. Each section has its own Save button:

Change role
Transferring ownership does not happen here. It lives in Business settingsDanger zone.
Job title
Free text, up to 80 characters.
Move to department
Moving someone changes the set of skills their AI can read, on their very next call. You don't reissue their key.
Suspend
Their keys stop working immediately. Reinstate them whenever you like and the keys come back with them. This is the right move for long leave or a handover in progress.
Remove from business
Removes the member and all of their keys. It can't be undone. Usage logs are kept so you can still audit.

When someone leaves the company

Suspend (or Remove from business) is enough to cut every bit of access on the spot, with no chasing down individual keys. This is exactly what mailing attachments around could never do.

Nobody edits the Owner, not even an Admin. A Manager can't change their own role, and only touches people inside their own department branch whose role is Manager or below.

Finding someone in the list

The Members page runs four filters at once: the Search by name or email box, All departments, All roles and All statuses. Hit Search to apply them and Clear filters to wipe them. The result lives in the URL, so you can send a colleague a pre-filtered link.
